New to scheduling or need a refresher?

Everything that happens at Riverstone Church must follow an approval process that allows our staff and Pastors to ensure schedule and space availability as well as alignment with our core values and beliefs. Read below to learn more about how to schedule anything from a one-on-one meeting to a large event, and how to submit information about off-site events/ministries for publicity purposes.

This form is for any individual or ministry team who would like to schedule a meeting at Riverstone Church.

EXAMPLES OF A MEETING REQUEST:

  • You would like to meet another individual at Riverstone for any purpose inside or outside of business hours.

  • You would like to utilize space to prepare for a meeting or other event outside of or preceding another previously approved meeting time.

  • Your ministry team would like to schedule a meeting or training at Riverstone.

  • You and a small group of people (12 or less) would like to schedule an ongoing private meeting at Riverstone.

THINGS TO NOTE ABOUT MEETING REQUESTS:

  • This form is not for scheduling events - public or private. Use the Facility Use Request Form to schedule an event. 

This form is for any organization, group, or individual who would like to reserve space for a public or private event at Riverstone Church.

EXAMPLES OF A FACILITY USE REQUEST:

  • You would like to offer a short-term Bible study or class (with a set start and end date) at Riverstone. (We are unable to schedule long-term or infinitely repeating events. Please contact our Communications Director if you need clarification.)

  • A ministry team is planning a monthly social event to take place at Riverstone and to be advertised to the congregation and/or public.

  • You would like to utilize our space for a private event that is not associated with Riverstone Church. (We do not schedule birthday parties or private movie screenings for individuals.)

THINGS TO NOTE ABOUT FACILITY USE REQUESTS:

  • Space cannot be reserved on Sunday mornings or Wednesday evenings due to church-wide ministry occuring at those times.

  • To maintain flexibilty with our ministries and church calendar, requests for facility use will not be considered for events more than six months in advance.

  • We do not schedule birthday parties.

  • Private movie screenings for individuals or groups non associated with a Riverstone Ministry are rarely approved as they require a large number of resources.

This form is for any organization, group, or individual who would like to utilize Riverstone's communications system to advertise to the congregation.

EXAMPLES OF A COMMUNICATIONS REQUEST:

  • A ministry team is planning an event to occur at a location other than Riverstone.

  • You are hosting a bible study, class, or life group at an off-site location.

  • You are an individual or organization that would like us to consider spreading the word about a specific event or ministry to our congregation.

THINGS TO NOTE ABOUT COMMUUNICATIONS REQUESTS:

  • If you are hosting a private life group off-site, please connect with our Adult Ministry Director for additional support and resources.

Submitting a request is not a guarantee of approval.

Staff will be in contact with you to confirm the details of your request following our next staff meeting.

Advance planning is required for many of our communications channels.

Most of our communications are finalized a week prior to their publication. Monthly calendars are finalized the week prior to the start of the month. In order to ensure ample time to communicate your request, we recommend submitting it as soon as possible and at least 2-3 weeks prior to your event.

personal invitation is the best way to get people to your event.

Our staff is happy to help you promote your event through various channels as they are determined to be appropriate by our Communications Team. These channels may include bulletins, e-news, posters, slides, verbal announcements, printed materials, etc.

But it’s really up to YOU to make sure people know about your event.
